Hilltop Child Development Center is a private, non-profit facility incorporated in the State of Kansas and supports childcare needs of the faculty, staff and students at the University of Kansas – Lawrence Campus and the Lawrence community. It is federally tax-exempted as a 501C-3 educational corporation. Hilltop is licensed by the Kansas Department of Health and Environment and accredited by NAEYC (National Association for the Education of Young Children). Hilltop is a controlled affiliate corporation of the University of Kansas. Hilltop receives some administrative and financial support from the University of Kansas and is governed by a Board of Directors comprised of University personnel and a Family Association representative. Hilltop has a university administrative relationship with Student Affairs at KU.
The mission of Hilltop is to provide an inclusive community where children learn from passionate professionals in a nurturing environment.
Reporting to the Executive Director, the staff accountant is responsible for the management and execution of daily financial transactions, ensuring accurate payroll and tuition billing and collection, coordination of the employee benefits program, accurate and timely record keeping and financial reporting, and guidance and insight for all financial matters at Hilltop.
Hilltop is licensed to provide childcare for up to 447 children across two locations. Up to 314 children are enrolled in the main location in the heart of the KU campus and an additional 133 can be enrolled at the West facility which is conveniently located near graduate and research facilities for the University. Hilltop currently serves children ranging from 8 weeks to 12 years old. There are just over 200 employees (full-time and part-time positions) and an annual operational budget of $5.3 million.
This position is required to be on-site.
The University of Kansas is a public institution governed by the Kansas Board of Regents.
Position Responsibilities:
Daily financial transactions – 30%
· Prepare, deliver, and reconcile family tuition billing and payments. Process adjustments and refunds as appropriate in consultation with Executive Director. Serve as the primary contact for families with regards to tuition and financial questions.
· Make all payments in a timely manner, serving as the primary contact with vendors regarding contracts and invoices.
· Manage and reconcile any department credit card purchases. Establish procedures for approved employees to make purchases.
· Facilitate all organizational bank deposits.
· Maintain inventory of equipment, fixed and movable assets.
Payroll and employee benefits – 20%
· Prepare and submit employee payroll.
· Coordinate employee benefits, including oversight of annual renewal and new employee enrollment.
Journal Entry Management – 20%
· Prepare, enter, and post accurate journal entries for month-end and year-end reporting in compliance with accounting standards.
· Maintain organized records and documentation of all journal entries, ensuring alignment with the organization’s financial policies.
· Analyze financial data to ensure entries are properly classified, accurate, and complete.
Account Reconciliation – 15%
· Reconcile balance sheet accounts, including cash, fixed assets, receivables, and payables, to ensure accuracy and completeness.
· Investigate and resolve discrepancies in a timely manner to maintain integrity in financial reporting.
· Prepare monthly, quarterly, and annual reconciliations of financial accounts.
Financial Reporting and Compliance – 15%
· Prepare monthly financial reports for review by Executive Director, the Board of Directors, and other stakeholders.
· Ensure compliance with internal controls, regulatory requirements, financial policies, and grant requirement.
· Prepare materials for annual tax return and external audits.
· In collaboration with the Executive Director, prepare the annual budget and proposed tuition rates
Process Improvement – 5%
Administrative Leadership – 5%
· Serve as a leader in the Hilltop administrative team and provide insightful guidance on the financial matters of the organization, maintain professional relationships with co-workers and Hilltop families, and step-in to assist with front desk coverage or other duties as needed.
· Maintain timely and professional communication to ensure smooth workflow and adherence to deadlines.
· Protect sensitive and private financial data and family information, discussing or sharing only in appropriate settings with appropriate individuals.
· Other duties as assigned.
Required Qualifications:
1. Bachelor’s degree in Accounting, Finance, or a related field.
2. Experience in accounting or financial management.
3. Proficiency in accounting software (QuickBooks, Sage, or equivalent).
4. Strong understanding of accounting principles and financial reporting.
5. Excellent written and verbal communication skills as demonstrated in the application and review process.
6. Experience with supportive software systems for enrollment, payroll, billing and communication.
Preferred Qualifications:
1. Hold a CPA license
2. Strong communication, organizational and leadership skills with experience in engaging with diverse populations.
Salary:
Minimum $55,000 annual salary.
